Yep, exactly this. Its a bit like the old chicken and the egg scenario. Can't book a date at the track without guaranteed numbers, but people won't commit without knowing the exact date.
If we were going to do something like this, I think we'd need to plan it well in advance to try and book a free date with the venue, then take cash up front to cover the booking. If people then drop out, its their loss - the organiser can't be left out of pocket.
By setting a date well in advance, hopefully the venue would have time to fill remaining spaces if we went back and said we had less people than we hoped?
